A cancellation letter is not hard to write. It is easy to get quietly wrong. Before you send:

  1. 1The right contract. Name it clearly, contract title or number and the start date, so there is no ambiguity about which agreement you mean.
  2. 2The deadline you are beating. Your notice has to land before the renewal date minus the notice period. This is the detail that decides whether the letter works at all.
  3. 3The required method. Many contracts demand a specific channel: a named email, post, or a portal. Sending to the wrong place can void an otherwise perfect letter.
  4. 4A clear statement. Say plainly that you are not renewing or that you are cancelling. Do not hedge.
  5. 5A request to confirm receipt. Proof it landed, in case the date is ever disputed.

How do I write a contract cancellation letter?+

Name the contract and its start date, state clearly that you are cancelling or not renewing, give the effective date, reference the notice period or termination clause you are relying on, and ask the other party to confirm receipt. Send it by the method the contract requires, before the notice deadline. The template above gives you the wording.

What is the difference between a cancellation letter and a non renewal letter?+

A non renewal letter lets the contract finish its current term and declines the next one. A cancellation letter ends the contract inside the current term, which usually needs a specific right and can trigger fees. This page includes a template for each.

When do I need to send it?+

Before the notice deadline, which is the renewal date minus the notice period. Late notice usually means the contract renews anyway, so check the deadline first.

Does a cancellation letter have to be a physical letter?+

Only if the contract says so. Many accept email to a named address, and some require a portal submission. Check the notice method in the agreement before you send.
